How to scan & email documents

PURPOSE

If you need to scan a document and email it to keep a digital copy of a physical file, follow the steps below.


PROCESS

From the Printer

  1. There are two way to load the document to be scanned:
    1. Using Scanner Glass
      • align scan
    2. Lift the scanner lid and load the item to scan on the scanner glass.
    3. Place the item print side down on the scanner glass
    4. Position it according to the engraved guides along the edge of the glass 
      • NOTE: This is usually on the right-front corner or left-front corner.
  2. Using Automatic Document Feeder (ADF)
    1. Place the item print into the document feeder tray. 
      • load using adf
    2. The print side faces up, and the top edge goes into the tray first.
    3. Slide the item into the ADF until you hear a tone or see a message on the control panel display 
    4. This indicates the loaded item is detected. 
    5. Adjust the paper guides to fit the document.


From your computer

  1. Open the HP Smart app home screen, click the Scan tile.

  2. From the Scan window, select the following options: 
    1. Document type: document
    2. Page size: 8 ½ x 11
    3. Output type: PDF
    4. Resolution: Leave default
  3. Click Scan https://support.hp.com/doc-images/211/c05567680.jpg and a preview of the scan will then display.
  4. On the preview screen, check the quality and ensure it is what you would like to be scanned. 
  5. If it is good, continue to Step 8, if not, continue to Step 6.

  6. Click Edit and make any changes with the app editing tools. 
  7. An editable preview displays as settings are changed, such as:
    1. Crop or rotate the scan.
    2. Click and hold one of the blue dots to manually adjust the border.
    3. Adjust the contrast, brightness, and saturation. 
      • These items help clear up the quality of the image.

  8. When all changes have been made, click Apply. 
  9. The Result window displays any changes to the scan.
  10. From the Result window, you can print, save, share, or add pages to the scan:
    1. Print: Send the scan job to the printer.
    2. Save: Save the scan as PDF in the Documents folder on your computer.
    3. Add a page: Add one or more pages to the current scan job.
  11. After you save the scan job, click OK.
  12. You can now start a new email and attach your document to send.
