User Guide for using calls in Teams

PURPOSE

Calls are a quick way to connect in Teams. You can have one-on-one calls or calls with several people. You can set them up ahead of time like a meeting, or you can start them on the fly while in a chat (for example).

While meetings are a great way to collaborate in Teams, calls can be a more direct way of connecting for completing specific tasks or for getting questions answered quickly.


PROCESS

Making a Call

  1. Open Teams
  2. Click on Calls on the left side
  3. Select either Video call Video call button  or Audio call Calls button

  4. Use the dial pad and then enter the number of the person you want to reach. 
  5. Then click Call Calls button .

  7. You can also type the name of a person or group and call them from the dial pad.
    • NOTE: This only works if the person is saved as a contact or works for Mister Car Wash.


Make a Call From Chat

  1. When you're in a chat, select Video call Video call button  or Audio call Calls button  in the upper-right corner of Teams.
  2. The person you are chatting with (or the people, if it's a group chat) will receive a call from you.

Using Speed Dial

  1. Using speed dial, you can quickly call people that you previously saved to this list. 
  2. Go to Calls Calls buttonand then find the Speed dial section on the right side of Teams.


Contacts

  1. To view your contacts, click Calls Calls buttonthen select contacts in the upper-left of Teams.
  2. From here, you can call anyone by selecting Call Calls buttonto the right of their name.

  3. Hover over someone's profile picture:  Throughout the Teams app, you will find profile pictures of people you're connected with (sometimes people choose avatars, or you might just see their initials).
  4. At any time, you can mouse over a profile picture, and you will see options to make a video or an audio-only call to that person. 
  5. Choose one of those options and your call will begin.

Call Using Commands

  1. At the top of Teams click in the search bar
  2. Type "/call" in the box and press enter
  3. then enter a name or number. 
  4. When you make your selection, the call will begin automatically.
  5. In this way, you can quickly find people or groups and make a call to them.


Answer Incoming Call

  1. When someone calls you, you'll get a notification that lets you accept or decline the call.
  2. Select Video call Video call button  or Audio call Calls button when prompted.


During a Call

  1. During a call, you can take many actions. These are a few common actions you might take:
  2. Place a call on hold:
    1. Select More actions  More options button  in your call window and choose Hold.
    2. Everyone in the call will be notified that they've been put on hold, and you can continue your call by clicking Resume.

  3. Transfer a call:
    1. Select More actions  More options button 
    2. Then select Transfer in your call controls. 
    3. Type the name of the person you want to transfer the call to and select them. 
    4. To finish, select Transfer.
  4. Consult then transfer:
    1. If you want to check in with someone before you transfer a call to them, 
    2. select More actions  More options button  > Consult then transfer.
    3. Under Choose a person to consult, 
    4. start typing the name of the person you want to reach and select them when they appear. 
    5. You can call them or consult with them over chat. 
    6. When you're ready, select Transfer.
  5. NOTE: If you're in a Teams call on your mobile device, the device's screen won't turn off if you don't navigate away from the call window (or if you navigate away but come back before it turns off). If you turn off your screen during a call, you'll stay connected, but the device will lock. 


Delegation

  1. Add a delegate:
    1. You can pick someone in Teams to be your delegate—to receive and make calls on your behalf. 
    2. When you add a delegate, you’re essentially sharing your phone line with them, so they can see and share all of your calls.
    3. To designate a delegate
    4. Select Settings and more   Select to see more options  next to your profile picture at the top of Teams
    5. Choose Settings > General. 
    6. Under Delegation
    7. Select Manage delegates. 
    8. Here you can see who you're a delegate for and add and remove your own delegates.  
  2. Share a line with a delegate:
    1. Select Settings and more   Select to see more options  next to your profile picture at the top of Teams
    2. Choose Settings > General. 
    3. Under Delegation, select Manage delegates. 
    4. Click Your delegates and type the person's name in the Add a delegate box. 


Call History

  1. Your call history is located in the center of the calls experience and shows a list of past calls (including missed calls).
  2. Go to Calls Calls button  > History.
  3. From any call in the list, select More actions  More options button  > Call back  Calls button  to begin a call automatically.
  4. You can also chat with that contact, add them to speed dial, and add them to your contacts—all from the More actions menu.

Access your voicemail.

  1. Your voicemail is another familiar tool for getting the most out of your calling experience in Teams.
  2. Go to Calls Calls button> History and then select Voicemail in the upper-right. From here you can:
    1. Review messages and transcripts from calls.
    2. Customize call rules.
    3. Record a greeting.
    4. Call anyone who's left you a message.
  3. Call someone back from your voicemail by selecting More actions  More options button   next to their name
  4. Select Call back  Calls button from the call history list, or by clicking Calls Calls buttonunder the contact Details on the right side of Teams.
