User Guide for using calls in Teams
PURPOSE Calls are a quick way to connect in Teams. You can have one-on-one calls or calls with several people. You can set them up ahead of time like a meeting, or you can start them on the fly while in a chat (for example). While meetings are a great way to collaborate in Teams, calls can be a more direct way of connecting for completing specific tasks or for getting questions answered quickly. PROCESS Making a Call Open Teams Click on Calls on the left side Select either Video call or Audio call Use the dial pad and then enter the number of the person you want to reach. Then click Call . You can also type the name of a person or group and call them from the dial pad. NOTE: This only works if the person is saved as a contact or works for Mister Car Wash. Make a Call From Chat When you're in a chat, select Video call or Audio call in the upper-right corner of Teams. The person you are chatting with (or the people, if it's a group chat) will receive a call from you. Using Speed Dial Using speed dial, you can quickly call people that you previously saved to this list. Go to Calls and then find the Speed dial section on the right side of Teams. Contacts To view your contacts, click Calls then select contacts in the upper-left of Teams. From here, you can call anyone by selecting Call to the right of their name. Hover over someone's profile picture: Throughout the Teams app, you will find profile pictures of people you're connected with (sometimes people choose avatars, or you might just see their initials). At any time, you can mouse over a profile picture, and you will see options to make a video or an audio-only call to that person. Choose one of those options and your call will begin. Call Using Commands At the top of Teams click in the search bar Type "/call" in the box and press enter then enter a name or number. When you make your selection, the call will begin automatically. In this way, you can quickly find people or groups and make a call to them. Answer Incoming Call When someone calls you, you'll get a notification that lets you accept or decline the call. Select Video call or Audio call when prompted. During a Call During a call, you can take many actions. These are a few common actions you might take: Place a call on hold: Select More actions in your call window and choose Hold. Everyone in the call will be notified that they've been put on hold, and you can continue your call by clicking Resume. Transfer a call: Select More actions Then select Transfer in your call controls. Type the name of the person you want to transfer the call to and select them. To finish, select Transfer. Consult then transfer: If you want to check in with someone before you transfer a call to them, select More actions > Consult then transfer. Under Choose a person to consult, start typing the name of the person you want to reach and select them when they appear. You can call them or consult with them over chat. When you're ready, select Transfer. NOTE: If you're in a Teams call on your mobile device, the device's screen won't turn off if you don't navigate away from the call window (or if you navigate away but come back before it turns off). If you turn off your screen during a call, you'll stay connected, but the device will lock. Delegation Add a delegate: You can pick someone in Teams to be your delegate—to receive and make calls on your behalf. When you add a delegate, you’re essentially sharing your phone line with them, so they can see and share all of your calls. To designate a delegate Select Settings and more next to your profile picture at the top of Teams Choose Settings > General. Under Delegation Select Manage delegates. Here you can see who you're a delegate for and add and remove your own delegates. Share a line with a delegate: Select Settings and more next to your profile picture at the top of Teams Choose Settings > General. Under Delegation, select Manage delegates. Click Your delegates and type the person's name in the Add a delegate box. Call History Your call history is located in the center of the calls experience and shows a list of past calls (including missed calls). Go to Calls > History. From any call in the list, select More actions > Call back to begin a call automatically. You can also chat with that contact, add them to speed dial, and add them to your contacts—all from the More actions menu. Access your voicemail. Your voicemail is another familiar tool for getting the most out of your calling experience in Teams. Go to Calls > History and then select Voicemail in the upper-right. From here you can: Review messages and transcripts from calls. Customize call rules. Record a greeting. Call anyone who's left you a message. Call someone back from your voicemail by selecting More actions next to their name Select Call back from the call history list, or by clicking Calls under the contact Details on the right side of Teams. How to setup voicemail in Teams
PURPOSE This document will outline the steps to be taken when setting up voicemail greeting in Microsoft Teams. PROCESS Open Microsoft Teams and click Calls. Click the drop-down arrow next to Don’t Forward on the bottom left and click More Settings. Under Voicemail, click Configure voicemail. Then, click Record a greeting. The voicemail dial pad will open. Press 2 to open the Greeting Menu. Press 1 to start recording the greeting. Press # to finish recording the greeting. Microsoft Teams will play the recorded greeting. Press one of the numbers to do the following: Press 1: To accept the recording. Press 2: To re-record. Press 3: To use the default greeting. Press the * key: To cancel the process. To complete the process, press Leave or press the * key. How to forward calls in Teams
PURPOSE This document will outline the steps to be taken to forward calls in Microsoft Teams. PROCESS Computer In Microsoft Teams, click three dots next to your profile picture and select Settings. Click Calls. Select the option Forward my calls. Then, select New number or contact. Enter the number to forward to and it will be saved automatically. Your calls will now be forwarded. Phone In the Microsoft Teams app, click your profile picture and select Settings. Click Calling. Turn on Call forwarding and click Forward to. Enter the number to forward to and it will be saved automatically. Your calls will now be forwarded. How to activate/pair handsets on a Panasonic wireless phone
PURPOSE The document explains how to activate the Panasonic Cordless Phone and pair with the base. PROCESS Activate the Phone Turn on the Panasonic handset that was included with the base unit. NOTE: The included handset is already paired with the base. All other handsets need to be paired to the base and activated individually. Type any number on the handset and press the green Call button. The announcement will request you enter the activation code for the base. Enter the activation code you received NOTE: The code will looks similar to this: 2931 2692 8161 Preparing the Base Press and hold the handset locator button for about 3 seconds NOTE: It can be found on the side of the base unit. How to power cycle the store phones
PURPOSE This document explains how to power cycle (reset) a Panasonic cordless phone and a Polycom VVX411. PROCESS Panasonic Cordless Phone The bottom of the Panasonic KX-TGP600 base unit will have an ethernet cable plugged into it. In picture below, it is the one that is going to the Hub. NOTE: The hub is the switch, Dell or Meraki in the IT Cabinet. Unplug it. The status light will turn off. Wait for 60 seconds, then plug it back in. NOTE: There should be only one cable that is plugged into the base. The additional cable in the picture is an optional power adapter cable Polycom VVX411 Unplug the Ethernet cable going to the phone. In the picture below, it is the cable that is going to the network port. Wait 60 seconds, then plug it back in. NOTE: There should only be one cable going to the phone. The other cables in the picture are optional. But be aware that there are two Ethernet ports on the phone. Troubleshoot Polycom desk phone
PURPOSE You need to know how to troubleshoot Polycom desk phone issues. PROCESS Symptom The Polycom desk phone doesn’t have a dial tone and/or the screen reads “URL” is disabled. Cause This error typically indicates a local network connectivity problem or some other issue preventing the phone from registering properly. This can include: Faulty ports or cabling. Being unable to register phone provider SIP server. DNS issues. Other network setup issues.
