How to setup MFA for store accounts
PURPOSE The purpose of this document is to set up authentication options for a store’s Microsoft account. PROCESS Add/Change Office Phone as MFA Method This process must be completed with access to the store phone. You may change the phone number associated with the account or add a new number at any time. On the store manager’s computer, navigate to portal.azure.com. NOTE: If already signed in, sign out by selecting the username in the upper-right corner, then click “Sign out”. Select or enter the store’s email account and enter the password. Click the email address in the upper-right corner and select View account. A new browser tab will open. Under Security info, click Update Info. Verify current MFA and approve the login. Either Change the existing Office Phone to the format below OR Add sign-in method: Select United States as the Country or Region. In Office Phone, enter 5206154000 as the phone number. In Extension, enter ####4, then the 4 digit store number and the number 1 at the end. For example: Store 1322 would have an extension of 413221. Select Call me. Select Next. Answer the phone and press # a few times until the voice accepts the input. Select Done after verification is successful. Your Microsoft session may time out and have you log in again. If asked to stay signed in, select No and check the box Don’t show this again. You must follow Change Primary Authentication Phone Number (listed below) to the Office Phone. Changing Default MFA Method to Office Phone Follow the process below when you need to change the store’s primary authentication phone number to the properly formatted ‘Office Phone’. On the store manager’s computer, navigate to portal.azure.com. If already signed in, proceed to step 3. Select or enter the store’s email account. Enter the password. Authenticate the current MFA. Click the email address in the upper-right corner and select “View account”. A new browser tab will open. Under Security info, click Update Info. Verify the current MFA and approve the login. Under Default sign-in method, select Change. In the pull down, select the Phone - call with the extension and click Confirm. Close the Security Info tab in the browser. Adding Authenticator App (General Managers only) Ensure the mobile device you are using already has the Microsoft Authenticator app installed. If your personal Mister email account does not have MFA set up, refer to the MFA - HOW TO REGISTER YOUR ACCOUNT document before proceeding. On the store manager’s computer, navigate to portal.azure.com. If already signed in, proceed to step 4. Select or enter the store’s email account. Enter the password. Answer the phone call to authenticate if prompted. Click the email address in the upper-right corner and select View account. A new browser tab will open. Under Security info, click Update Info. Verify the current MFA and approve the login. Select Add sign-in method. In the pull-down menu, select Set up Authenticator app. Open the Microsoft Authenticator app on your mobile device. Select the Plus icon in the upper-right corner and select Work or school account. If there is no Plus icon, select the three vertical dots icon in the upper-right corner. When a QR code reader appears on your device’s app, scan the QR code displayed on your computer. Once the scan is successful, click Next on your computer. Select Approve on the Microsoft Authenticator app when prompted. After answering the store phone to verify, select Close. Removing Authenticator App Entry after GM Transfer Open the Microsoft Authenticator app and select the Menu button in the upper-left corner. Depending on your app, this will look like three horizontal lines or three vertical dots. Select Accounts and tap the store’s email account. Tap Remove account at the bottom. Select All apps on this device on the popup that appears. Using Microsoft Multi-Factor Authentication When signing into the store account, the phone may ring and ask you to verify that you are at the store. If you are away from the store and need to access the store account, log in as normal. You may be presented with the following prompt: Select the Verify option. When asked how to authenticate, select “Approve a request on my Microsoft Authenticator app”. Tap Approve on the notification that appears on your mobile device. You will be logged in. NOTE: The store will receive a call to authenticate if the GM is accessing the account from a different location. WARNING: Store employees must be instructed to hang up without authenticating if they are not sure who is logging in. How to register account with authenticator app
PURPOSE The Microsoft Authenticator app provides an extra layer of security by requiring an additional login credential through your mobile device. Once set up, your multi-factor authentication (MFA) will require identity verification when accessing Mister Car Wash’s shared online resources such as Outlook, OneDrive, and Microsoft Teams from a new computer or network (e.g., when traveling). All employees, both in the field and at HQ, are required to set up their accounts to use MFA. VIDEO PROCESS On any computer, navigate to portal.azure.com. If already signed in, sign out by selecting the username in the upper-right corner, then click “Sign out”. Select or enter your email account and enter your password. Select “Next” when prompted for more information. If you used Internet Explorer, you will land on the Microsoft Azure page. Click “Continue to Azure Portal website” to reach the dialog box shown above Fill out the “Additional security verification” information. Select “United States” in the Select your country or region dropdown menu. Enter your mobile device number. Select “Send me a code by text message”. Click “Next”. After receiving the code by text message, enter the code into the field and click the Next button. Select “Done” after verification is successful. Your Microsoft session may time out and have you log in again. If asked to stay signed in, select “No” and check the box “Don’t show this again”. On the Microsoft Azure page, click your email address in the upper-right corner and select “View account” A new browser tab will open. Click “Additional security verification”. If your account times out, Microsoft will text you a new code. Enter this code on the Microsoft website when prompted. Check the box next to Authenticator app or Token and select “Set up Authenticator app On your mobile device, download the Microsoft Authenticator app from the App Store or Google Play Store. iPhone Download QR Code Android Download QR Code Allow the app to access your device’s camera. It will be used to scan a QR code in a later step. On the app, click “Skip” on the first two screens. Then click “Add work account”. When a QR code reader appears on your device’s app, scan the QR code displayed on your computer. Once the scan is successful, click “Next” on your computer NOTE: The QR Code shown is for demonstration purposes. A new QR Code will show on your computer, please scan the QR Code on your screen. Select “Approve” on the app when prompted. On your computer, click “Save”. On your computer, click “Verify preferred option Click “Approve” on the Microsoft Authenticator app when prompted. How to reserve a conference room in Outlook
PURPOSE You need to reserve a conference room when scheduling a meeting in Microsoft Outlook. PROCESS Open a new meeting window using the New Meeting button in the Outlook toolbar. In the Meeting window, click Location to locate the conference room you want to reserve. In the Select Rooms window, locate and select the room you would like to reserve, and then click OK. The room will be added to the Location field of your meeting invitation. It will also appear as a recipient in the Required field. Add your Meeting Attendees email addresses to the Required or Optional fields. Click the Scheduling Assistant tab. NOTE: Scheduling Assistant helps you find the best time for your meeting by comparing the available times for recipients and the conference room. Update the Start time and End time on the Scheduling Assistant menu. Then, click the Meeting tab to return to the meeting options. Fill in the Subject and Meeting Body fields NOTE: The Attendees, Start Time, End Time and Location fields should already be populated from previous steps. (Optional) If you want the meeting to repeat on a certain date and time, click the Recurrence button. Adjust recurrence settings as desired. Recurring meetings cannot conflict with other scheduled meetings. (Optional) If you want to use Microsoft Teams for your meeting, click the Teams Meeting button. When you are satisfied with your meeting settings (time, location, subject, participants), click Send. T he meeting request is sent to the recipients specified in the Required and Optional fields. After you have sent your meeting invitation, you will receive an email back from the conference room mailbox account. An Accepted response will confirm your conference room has been reserved. A Declined response will be received if you have a chosen a date/time the conference room is already reserved for. If you receive a declined response, find a different date/time or select a different conference room. How to share a calendar in Outlook
PURPOSE This document explains how to share your Outlook calendar(s) with other users. PROCESS Click the Calendar icon. From the Home tab, click the Share Calendar icon and then click “Calendar”. The Calendar Properties window will open. Click “Add”. In the Search field, type the name of the person being added. Select the name and click the Add button at the bottom. Then click “OK”. In the Calendar Properties window, select the person you want to give access. Then select a radio button next to the level of permission you want to grant that person. Click “Apply” and then “OK”. Now the person you’ve shared your calendar with will receive an email invite. They will be able to see your shared calendar in their calendar list after accepting the invite.

How to setup recurring meetings in Outlook
PURPOSE You need to know hot to set recurring monthly reminders in your Outlook calendar. PROCESS Setup Recurring Meeting Open Outlook click the calendar icon Click New Appointment Fill out the appointment information: TITLE: Enter the name of the meeting START DATE/TIME: When does the 1st meeting start END DATE/TIME: When does the 1st meeting end Click Make Recurring to make the appointment repeat The appointment recurrence window will open. Customize the section under recurrence pattern: Choose if the meeting is to repeat: Daily, Weekly, Monthly, or Yearly Choose the details of what day of the week it will repeat Under the range of recurrence section, choose when you want the meetings to end By a specific date, i.e.. End of Quarter After a set number of meeting recurrences No End Date - NOTE: The "No End Date" option will stay on your calendar for a max of 6 months WARNING: If the meeting recurrence is no longer needed all future meetings need to be cancelled manually. When you are done customizing the recurrence, click OK Save the Meeting to add it to the calendar. Attach Files To Meetings If you want to attach a file to an appointment, click Insert along the top bar. Click Attach File in the upper-left corner and choose the file you wish to attach. The file will appear as an attachment in the appointment window. You will be able to access the attachment every time the recurring appointment reminder comes up. In the body of the appointment, include any relevant notes to yourself. Click Save & Close to add the appointment to your calendar. How to reset your Email password
PURPOSE Follow the steps below to reset your Microsoft password quickly and easily. You will need your cell phone to authenticate your identity. PROCESS If You Know Your Old Password Navigate to Change Password: Type your old password Create a new password Verify the new password NOTE: This process may take up to 15 minutes to synchronize with the cloud. Expect a slight delay in the systems. If You Don't Know Your Old Password NOTE: If you suspect your password may have been compromised, you must immediately report it to Mister IT and change all your passwords. Navigate to Microsoft Online Click Can’t access your account? For the type of account. Select Work or School account. Enter your Email, which will be your full email address (Example: jsmith@mistercarwash.com) Enter the characters in the image or the words from the audio. Then, click “Next”. Click Text my mobile phone. Enter your phone number, then click Text. NOTE: If you receive an error stating that you do not have a phone number associated with your account or that you need to update your phone number, follow the following: MFA - HOW TO SETUP MFA FOR STORE ACCOUNTS Shortly after, you will receive a text message with a 6-digit code. Enter this code and click Next. Enter your new password, confirm the password, and click Finish. NOTE: Use the Mister Password Policy to create a new password that follows Mister Guidelines for Password Security. Passwords must meet these minimum standards: Be a minimum of 9 characters in length (passwords of 14 characters or more are better); NOT contain personal information, including birthdates, addresses, phone numbers, or names of family members, pets, friends, and fictional characters NOT contain patterns or easily guessed sequences (e.g., “aaabbb”, “qwerty”, or “123321”) NOT be some version of “Welcome123”, “Password123”, “Changeme123”, and so on. Passphrases, which are passwords made up of multiple words, are highly recommended. After confirmation that your password has been reset, click the blue link to login. Enter your email and new password to Login. If you cannot login and have tried to reset your password, contact Mister IT for assistance. Additional Password Guidelines You must have a separate, unique password for each work-related account you maintain. You may NOT use any work-related passwords on your personal accounts. Passwords must NOT be shared with anyone, including supervisors and coworkers. Passwords may NOT be inserted into email messages or other forms of electronic communication. ALL passwords must be treated as sensitive, confidential Mister Car Wash information. Passwords may ONLY be stored in password managers authorized by Mister. Do NOT use the Remember Password feature of applications (e.g., web browsers). How to upload photo for Email
PURPOSE To create a more personal online experience here at Mister, this guide was created to help you take and upload an acceptable headshot for employees with a Mister email account. PROCESS Follow the following to ensure photos are taken and uploaded properly. Make sure you look the part; wear your Mister uniform Ensure you follow the Mister Car Wash Appearance Guidelines. Ask for assistance from a co-worker with a smartphone camera Stand 6 feet away from camera. The backdrop needs to be a plain wall; preferably gray, but make sure to avoid any busy backgrounds. Avoid shadows on your face by looking for balanced light. Square your shoulders towards the camera. Capture the photo from just above the belt line to above the head. Most importantly, don't forget to smile! Once completed, attach your photo in an email and send it to mediateam@mistercarwash.com

How to encrypt emails in Outlook
PURPOSE You need to know how to encrypt emails with sensitive information, such as credit card numbers, social security numbers, bank account numbers, etc. PROCESS When sensitive information is present in an email or email chain, it is considered a best practice to encrypt the email message so it cannot be read by anyone other than the intended recipient. After the email is written, select the options tab from the top ribbon, and select encrypt dropdown menu. Under encrypt, select Encrypt-Only The message should now have the following message above the To line Send the encrypted email.
